Payment conditions

1. GENERAL TERMS

1.1 Best Lan Party, 1st ed. - 2026 will be an event where cashless payment is used to encourage the personal and general safety of the participants at the event. You will be able to pay for goods and services only by using a wristband that incorporates an RFID chip (“Payvent Tag”) or a card with an RFID chip (also referred to as the “Payvent Tag”) within the event. The Payvent Tag is operated by our partner, Payvent.

1.2 The terms and conditions for the use of the Payvent Tag (hereinafter referred to as the “Terms and Conditions for the Payvent Tag”) have the value of a distance contract concluded between the Organiser of the event, GOOD GAME INDUSTRY SRL, address Bucharest Municipality, Str. Ion Slatineanu no. 7, ap. building C, Sector 1, CUI: RO42386757, in its capacity as issuer of the Payvent Tag and any person who possesses, wishes to use or actually uses the Payvent Tag and the services associated with the Payvent Tag (i.e. “You”, as the “Client”) within the Best Lan Party, 1st ed. - 2026 event, which takes place during 06/06/2026, 10:00 - 07/06/2026, 04:00.

1.3 By taking and using the Payvent Tag, you accept fully and unconditionally the Terms and Conditions and any provision thereof. Failure to accept the Terms and Conditions, or any provision thereof, gives rise to your obligation to immediately cease using the Payvent Tag and to hand over the Payvent Tag at the nearest Credit Point within the event.

2. DEFINITIONS

2.1 For the purposes of this set of Terms and Conditions, the following terms shall mean:

3. PURCHASING POLICY WITHIN THE EVENT

3.1 Within the Event there will be points from which you can purchase the Products and Services made available by the Organiser and/or the Contractual Partners.

3.2 You are obliged to use at the Event only the payment methods and instruments established by the Organiser. As a general rule, for payments within the event the Payvent system and Payvent Tag will be used.

3.3 The Payvent Tag is an RFID technology based on cashless payment technology. The Payvent Tag cannot be considered to be a debit/credit card or a cash payment equivalent. You will not receive any interest on the funds deposited on the Tag. The Tag is not transferable (only one person can use it) and is not intended for resale. The Tag does not contain confidential information regarding You. The Tag has a single individual account balance and can be used only for cashless payments at the Event, only during 06/06/2026, 10:00 - 07/06/2026, 04:00.

3.4 Within the Event, the Payvent Tag is considered a payment instrument of the type:

• SPV (single purpose Voucher), as defined by the European Commission, due to the fact that in exchange for the Credit Points on the payment instrument, Clients can purchase within the Event only Services or Products for which the VAT rate cannot be determined. The issuance of a fiscal receipt and/or an invoice for the Products or Services purchased within the Event is the responsibility of the Organiser.
• MPV (multi-purpose Voucher), as defined by the European Commission, due to the fact that in exchange for the Credit Points on the payment instrument, Clients can purchase within the Event only Services or Products that have a different VAT rate. In this case, VAT is collected upon the use of the Credit Points. The issuance of a fiscal receipt and/or an invoice for the purchased Product/Service is the responsibility of the Contractual Partners and/or the Organiser, if it has its own points of sale.

3.5 If you want a fiscal invoice for the Products or Services purchased within the Event, you are obliged to keep all the fiscal receipts from each Contractual Partner in order to subsequently request the fiscal invoice from the respective Contractual Partners and/or from the Organiser.

4. SPECIFIC CONDITIONS FOR USING THE PAYVENT TAG

4.1 Requesting the Tag

4.1.1 You can personally request a Payvent Tag upon arrival at the Event, from the Credit Points, or you can receive the Tag directly at the entrance to the Event, depending on the Organiser's decision.

4.1.2 Issuing a Payvent Tag costs 0 RON, an amount that will be withheld at the first charge, from the balance charged by You and which will not be refunded.

4.1.3 The deposit for the Payvent Tag is 5 RON, an amount that will be withheld at the first charge, from the balance charged by You and will be refunded at the time of the request for the return of the unused balance and the handover of the Tag at the Credit Point, according to the conditions in point 4.6.

4.1.4 Take great care of the Tag you receive! As a Client, you are responsible for keeping the Tag safe and for caring for the Tag. You should treat your Tag as if it were money in your wallet. If you lose your Tag or if it is stolen or copied and someone else uses it or it is damaged in any way, then any available funds stored on the Tag may be lost, as if you had lost your wallet. Do not expose the Tag to fire, excessive heat and all other circumstances that could damage the chip inside the Tag. The Organiser will not be responsible for any damage that you may suffer.

4.1.5 You will remain at all times responsible for the use of the Tag and for the activity in your online Account, regardless of whether or not the activity was authorised by you. If you choose or are provided with a User identification code, a password or any other information as part of our security procedures and/or your Account, you must treat this information as strictly confidential. You must not disclose it to a third party.

4.1.6 Without prejudice to any of our other rights, we may (without notifying you in advance) terminate our agreement with You, cancel or suspend the Payvent Tag or your online account or refuse a transaction, if we have reason to believe that the Tag or the online Account is being used fraudulently, illegally or in breach of these Terms. In these situations, we may refund any unused balance from your account, at our discretion, provided that we act reasonably. Any refund, if granted, will be processed in accordance with clause 4.6.

4.1.7 If the system detects that you have falsified the Payvent Tag or changed the information on it, we have the right to retain it, and to take legal action against You.

4.2 Registering the Tag

4.2.1 Within Best Lan Party, 1st ed. - 2026, the Tag registration service on the site or in the Payvent application will not be available.

4.2.2 In the situation where the Tag registration service is not available, the Payvent Tag can also be used without registration. In this situation, as a Client we wish to warn you that in the event of loss, theft or damage, the Voucher is lost, cannot be used by the original owner of the Tag afterwards (and anyone who finds the Tag can use the balance, because the Tag cannot be cancelled) and you are responsible for keeping the Tag safe and for caring for it.

4.3 (Re)Charging the Tag

4.3.1 (Re)Charging the balance can be done at the Credit Points within the Event, using the payment methods made available by the Organiser. You have the possibility to charge the Payvent Tag as many times as you wish.

4.3.2 Following the (re)charge you confirm and agree that the amount of money on the Tag is the same as the amount you gave to the Operator, from which specific fees may be withheld, where applicable.

4.3.3 Each Tag has a balance and can be (re)charged only in RON. Following the (re)charge, the conversion is: 1 RON – 1 Credit Point. Each (re)charge must have a minimum amount of 1 RON. The maximum balance of the Tag and the maximum amount of a single (re)charge is 990 RON.

4.3.4 For transactions carried out at Credit Points, complaints can be made only at the Credit Points after the (re)charge, i.e. immediately after you have carried out the transaction, if the difference can be clearly determined. After leaving the Credit Points, no complaints are accepted. For transactions carried out online, complaints can be made at the address hello@gg-industry.ro.

4.3.5 Credit Points operating schedule during the Event: THROUGHOUT THE ENTIRE EVENT.

4.3.6 No commission is charged for payments by bank card! When (re)charging with a bank card, the balance is charged in RON. For debit/credit cards other than in RON, the amount will be converted at the exchange rate of the issuing bank, in accordance with the agreement between You and the bank.

4.4 Using the Tag

4.4.1 The purchase of Goods or Services is made by paying the suppliers within the Event by using the payment terminals made available by Payvent. The terminal may consist of:

• A Tag reader, which is placed on the counter and is visible to the Tag holder;
• A POS terminal, which is placed facing the Operator and which is not necessarily visible to You;
• A mobile POS terminal, with a built-in Tag reader.

4.4.2 The payment process:

1. The Operator selects the products you want;
2. After establishing the purchase value, the amount is displayed on the screen of the Tag reader and if you accept the indicated amount, you touch the Tag to the reader through which the transaction is carried out;
3. The Tag balance decreases by the transaction amount;
4. The reader screen displays the new balance;

4.4.3 If the transaction was carried out by mistake with an incorrect amount or if it must be cancelled for any reason, the operation can be carried out at the payment terminal. Cancelling a transaction is possible only at the terminal where the transaction was carried out and only if it was the last transaction carried out both with respect to the terminal and on the Tag. Otherwise, cancelling the transaction is not possible.

4.4.4 The payment system also allows the giving of tips, in which case an amount greater than the actual amount of the ordered products is entered. In this case, we specifically warn you to check the amount displayed on the payment terminal before confirming the transaction.

4.4.5 You are responsible for all approved transactions carried out with your Tag. If you allow another person to use your Tag, this is considered authorised use (by You) and you are responsible for all transactions carried out with that Tag.

4.4.6 The Tag can be used as a payment method only during the period of Best Lan Party, 1st ed. - 2026, only during this Event, at the following suppliers of goods and/or services: Good Game Industry, CUI RO42386757.

4.4.7 Tags cannot be used as a payment method at the following suppliers of goods or services: Not applicable.

4.4.8 The list of Contractual Partners that accept payment with the Tag may be modified at the discretion of the Organiser during the Event.

4.5 Checking the balance

4.5.1 You have the right to check the balance available on the Tag at any point of the Contractual Partner or of the Organiser or at the Credit Points within the Event. You will accept the database and the declaration of GOOD GAME INDUSTRY SRL regarding the balance of the Tags as final and applicable.

4.6 Withdrawing the unused balance

Within the Event, the Organiser allows the withdrawal of the unused balance.

You can obtain a refund of the unused balance, except for bonus amounts and except for amounts pre-charged by the Organiser. Bonus amounts and pre-charged amounts are non-refundable, i.e. they cannot be paid out under any circumstances.

Within Best Lan Party, 1st ed. - 2026, the Organiser makes available to You the following refund methods: only during the Event, at the Credit Points.

Refund at the Credit Points: The balance charged using cash and/or debit/credit card and/or online and remaining unused can be recovered, exclusively in cash, at any of the Credit Points within the perimeter of the Event, only during 06/06/2026, 10:00 - 07/06/2026, 04:00.

To carry out the Refund, you must present the Tag and ensure that it does not show signs of compromise.

The unused amount can be withdrawn - rounded to the nearest 1 RON. The Client is also given proof of the withdrawal.

Please do not delay the withdrawal of the balance until the last moment.

In the case of the withdrawal of a larger amount, the Operator is entitled to verify Your identity and to request approval of the withdrawal from the Organiser. The Client understands that they should wait due to this procedure and the time needed for approval.

4.7 Cancellation and replacement of the Tag

4.7.1 You must immediately notify a member of staff at one of the Credit Points or Help Desk if the Tag has been lost, stolen, damaged or if you know or suspect that someone has used the credit on your Tag or knows your User identification code or password (if you have created an online account) and any other information reasonably necessary to verify your identity or to deactivate, suspend or cancel your Tag.

4.7.2 The cancellation and/or replacement of a lost, damaged or stolen Tag can be carried out only if that Tag was previously registered by the Client on the site or in the application. If the registration was not carried out, the old Tag cannot be cancelled and/or replaced. We cannot guarantee that your Tag can be completely blocked. If you have not registered your Tag online, we may not be able to block your Tag.

4.7.3 The replacement of a lost or damaged Payvent Tag can be requested in person at the Credit Point or Help Desk by providing the identity of the person requesting the replacement, an identity that must match the credentials on the Payvent Tag that is to be replaced. If the provision of the data is refused, the Operator is not obliged to carry out the operation. The replaced Payvent Tag is cancelled once the balance is transferred to the new Tag. The transfer is instant.

4.7.4 In the case of a damaged Tag, it is necessary for the old Tag to be presented and cancelled in order to obtain the new Tag. A new Tag can be requested only from the Credit Points or Help Desk. The balance of the old Tag can be transferred only to the new Tag, if the old Tag was registered and was previously cancelled.

4.8 Complaints

4.8.1 Within the Event, complaints can be made only if the Tag is also presented. Upon your acceptance of this document, You and GOOD GAME INDUSTRY SRL agree that any claims arising from the legal relationship specified herein can be enforced only within the term provided by law.

5. PROCESSING OF PERSONAL DATA

GOOD GAME INDUSTRY SRL processes your personal data in accordance with the legislation in force and with the Privacy Policy - https://bestlanparty.ro/en. Please access these documents for complete information regarding the processing of personal data by GOOD GAME INDUSTRY SRL and the way in which you can exercise your rights regarding the protection of your data.

6. LIMITATION OF LIABILITY

6.1 We make every effort to provide you with a functional cashless system, but we do not guarantee or declare that:

• a) the cashless system will function without faults or will function only partially during the Event;
• b) the use of the Tag or of the website or of the application will be uninterrupted and/or error-free;
• c) the points of sale will always be available at the Contractual Partners at the Event.

In these situations, the Organiser will provide a backup solution for the Clients.

6.2 We are not liable for any loss or damage caused by You or by a third party as a result of a lost, stolen or damaged Tag, nor for any loss or damage as a result of the use of the Tag or of your online account without your permission or the lack of access to your online account, except where this is demonstrably the direct result of our deliberate intent or gross negligence.

6.3 Our liability in connection with the use of the Tag and/or the Account, regardless of the legal basis of this liability, is at all times limited to direct damages and will never exceed the amount of 990 RON (the maximum amount that can be charged on a Tag).

Expressly, Users agree to exempt GOOD GAME INDUSTRY SRL from liability for any judicial or extrajudicial action arising as a result of the incorrect or fraudulent use of the site or of the application.

6.4 GOOD GAME INDUSTRY SRL is not liable in any way, to any extent and bears no responsibility for the card payment processing service. GOOD GAME INDUSTRY SRL is not responsible for any error and/or fraud arising from, or in connection with, this service. However, although the payment services are offered and directed entirely and independently by our suppliers, GOOD GAME INDUSTRY SRL will take all reasonable measures to limit as far as possible the risk of these errors and/or frauds occurring.

6.5 In the event of a case of force majeure, GOOD GAME INDUSTRY SRL and/or its operators, directors, employees, branches, subsidiaries and representatives are fully exempted from liability. Cases of force majeure include, but are not limited to, malfunctions of the technical equipment, lack of functioning of the internet connection, lack of functioning of the telephone connections, computer viruses, unauthorised access to the Site's systems, operating errors, strike, war, etc. Clients waive claims, demands, actions, impositions, losses, damages, costs (including, without any limitation, lawyers' fees), expenses, judgments, decisions, fines, settlements or other obligations resulting from or related to any other action of the User in connection with the use of the Payvent Service or any other aspect related to the Payvent Service.

7. MODIFICATION OF THE TERMS AND CONDITIONS

7.1 The Organiser has the right to unilaterally modify, at any time, the Terms and Conditions for the Payvent Tag, as well as any other relevant policies, by posting a modified version at https://bestlanparty.ro/en.

7.2 Please check the Event's website from time to time to see any modifications that we may have made, since the continued use of the Payvent Tag and/or of the services associated with the Payvent Tag after the modification of these Terms represents Your acceptance of the modifications made.

8. INTELLECTUAL PROPERTY

8.1 All intellectual property rights in connection with the Tag belong to Payvent. You have no intellectual property right over the Tag or the Payvent Service, or over any improvements or variations that may be made to them.

8.2 The materials and information accessible through the Site, the content and the graphic elements of the Site, including, but not limited to, all content in text format, as well as the technical sources of all present and future services and facilities, except where another owner is expressly mentioned, the sources of the pages but also any other material, transmitted in any form from and to Users (through direct viewing on the site, through newsletter, etc.) belong to Payvent and its partners and represent the content of the Site.

8.3 The content of the Site, regardless of the area in which it is located on the site and regardless of type, can be used exclusively for personal use. Any use of content by third parties for purposes other than personal use may be carried out only with the written, express and prior consent of Payvent. Thus, the copying, taking, reproduction, publication, transmission, sale, partial, full or modified distribution of the content of this site or of any part thereof carried out for purposes other than personal use is prohibited.

8.4 Payvent reserves the right to take legal action against any person and/or entity that breaches in any way the provisions above.

9. APPLICABLE LAW. DISPUTES.

9.1 Your rights and obligations and those of GOOD GAME INDUSTRY SRL provided for by the “Terms and Conditions for the Payvent Tag”, as well as all the legal effects they produce, will be interpreted in accordance with and governed by the law in force of ROMANIA. Any dispute arising from or in connection with the Terms and Conditions will be settled amicably. You agree that in the event of the impossibility of reaching an agreement, the dispute will be settled by the competent court located within the territorial jurisdiction of the municipality of BUCHAREST.

10. FINAL PROVISIONS

10.1 In the event that a clause in the set of Terms and Conditions is struck by nullity, it will be removed and will not affect the validity, legality or applicability of the remaining clauses of these Terms. The parties agree that upon the removal of the clause struck by nullity it shall be replaced by the parties with another clause, in accordance with the spirit of this set of Terms and Conditions.

10.2 The failure to exercise or the delay in exercising any right, power or remedy provided by these Terms or by law shall not constitute a waiver of that right, power or remedy.

10.3 These terms and the documents mentioned herein constitute the entire agreement between You and the Organiser in connection with the Voucher, the Payvent Tag and the Payvent services and replace any prior agreement or understanding between the parties relating to it.

10.4 The parties agree that they have not concluded this agreement relying on any declaration, representation, covenant, guarantee, undertaking or understanding (whether made negligently or innocently) of any person (whether or not a party to this agreement), except where it is expressly established in these Terms.

10.5 These Terms apply only to Your relationship with the Organiser regarding the Tag and the associated services and do not affect (and, therefore, are in addition to):

• any terms and conditions governing the tickets to the event and/or entry to the event areas;
• any agreement between You and a supplier of goods or services at the event (including any legal rights you might have as a consumer).

10.6 We have the right to assign our rights and benefits at any time, without prior written notice or your consent, and we are entitled to subcontract any of our obligations in accordance with these Terms.
